Regardless of which product(s) your facility requires, our GFMS™ Software serves as the backbone to your install and serves as your interface to configure access, monitor usage, and receive alerts and updates.

  • The GFMS software now has the capability for Active Directory integration. Control access to the GFMS application with Active Directory and manage the individuals that are allowed to view GFMS.

  • BEAR processors in the key box now support TLS 1.2. Custom security certificates can now be installed on the key box. The web application supports HTTPS for secure data transmission. Industry-standard encryption of confidential information in the database.

  • Built-in functionality allows for use of any web enabled device (PC, laptop, smart phone) to manage and monitor your GFMS™ database, as well as alarms and system status.

  • GFMS™ processes all SAM events in real time for immediate access to alarms and event monitoring.

  • The GFMS™ software supports SSL certificates to allow application information to be safely encrypted and transmitted.

  • Whether the boundaries of your system extend across the country or around the world, GFMS™ Software gives you the ability to synchronize time zone information to ensure accurate reporting and asset accessibility.

  • The GFMS software is now available in the cloud, hosted by KSI. The software is browser-based and accessible from any internet connected device. All new and existing customers qualify to receive this service*. Please call for more details.

  • The GFMS software can be installed within your organization on either a server or a PC. KSI supports several Windows operating systems and SQL Server version configurations.

  • GFMS™ Software allows you to schedule transaction reports for delivery to your inbox automatically. Additionally, you may configure automated SMS or email alerts for critical notifications or simply to remind a user to return a key.

  • The powerful GFMS™ rules engine enables the creation of unique, custom-made access rules to ensure that high security assets are never removed by any single user.

  • Delegate control of keys and users within your organization via GFMS System groups. Administrators can be assigned systems to run, and their view and control can be limited only to those systems using the GFMS database.

  • Ability to modify and save standard reports in GFMS 3 to fit business requirements. Ability to save reports as PDF, Excel, or Word document directly from applications. Scheduled reports are now sent in PDF form.

Software/Firmware Updates

As GFMS™ evolves to meet your needs, updates to your system can be handled remotely in minutes without any interruption in the operation of your system. Firmware updates to your hardware are handled directly through the GFMS™ Software.

GFMS™ Server Requirements

  • Microsoft® Windows Server® 2025 / 2022 / 2019 / 2016 / Microsoft® Windows® 11

  • 25-50 GB hard disk space reserved for the database, application files and logging. Total size depends on system configuration and integrations.

    • For Microsoft® SQL Server® Express 2022 and older, the max database size is 10 GB. For Microsoft® SQL Server® Express 2025, the max database size is 50 GB.

  • 16 GB RAM

  • 100 MB wired network connection

  • 2-4 core processors minimum

GFMS™ Software Requirements

  • Internet Information Services (IIS) installed and enabled

  • Microsoft® SQL Server® 2025 / 2022 / 2019 / 2017 / 2016 - Full and Express Editions supported

  • Microsoft® SQL Server® Management Studio (SSMS)

GFMS™ Install

  • GFMS™ manages and monitors all Key Systems, Inc. electronic cabinets

  • GFMS™ is database portable and may be implemented with our included database install or your existing data management infrastructure (Examples include SQL2022, SQL2025)

  • Our browser based software eliminates the need for client install of GFMS™. Alternatives to our included software web server may be used to host GFMS™ (Examples include IIS10)

  • Built-in encryption may be extended for secured http
